This notice explains how we collect and use personal information relating to trade customers and applicants, suppliers and their representatives, website visitors, prospective customers, professional advisers and other business contacts.
2. The information we collect
Identity and contact information, including names, job titles, business addresses, email addresses, telephone numbers and signatures.
Business and account information, including company details, trading names, company registration and VAT information, account references, purchasing authority, payment terms and credit limits.
Alcohol licensing and compliance information, including premises licence details, AWRS information where relevant, authorised delivery locations and due-diligence records.
Order, delivery and transaction information, including products ordered, prices, invoices, payments, credit notes, delivery instructions and correspondence.
Financial and credit information, including bank details where supplied, trade references, payment history and the results of proportionate credit or fraud-prevention checks.
Website and technical information, including login details, IP address, device and browser data, security logs, website activity and cookie preferences.
Communications and marketing information, including enquiries, meeting notes, tasting or event attendance, portfolio interests and communication preferences.
Information contained in correspondence, complaints, claims, product-recall records or regulatory enquiries.
We generally do not need special category personal information. Please do not provide health, biometric, political, religious or other sensitive information unless it is genuinely necessary and we have asked for it.
3. How we obtain information
Directly from you, including through trade applications, orders, emails, telephone calls, meetings, tastings, events and website forms.
From your employer, colleagues or other representatives of the organisation with which we deal.
From public sources and official registers, such as Companies House, VAT and AWRS verification services, licensing authorities and business websites.
From service providers and professional advisers, including credit-reference, fraud-prevention, accounting, logistics, warehousing, payment and IT providers.
From cookies and similar technologies used on our website, subject to the choices described in our Cookie Notice.
4. Why we use personal information and our lawful bases

5. Whether you must provide information
Some information is necessary for us to assess a trade application, comply with alcohol-wholesaling and licensing obligations, enter into a contract, supply goods, extend credit or make payment to a supplier. Where required information is not provided, we may be unable to approve an account, accept an order, grant credit, make a delivery or continue a business relationship.
6. Who we share information with
Warehousing, fulfilment, freight, courier and delivery providers where needed to store and deliver goods.
Payment providers, banks, accountants, bookkeepers, auditors, insurers and professional advisers.
Website hosting, CRM, email, document storage, cybersecurity and other IT service providers.
Credit-reference, identity-verification, fraud-prevention and debt-recovery providers where proportionate.
Suppliers or producers where necessary to fulfil an order, resolve a product issue or coordinate a visit, allocation or event.
HM Revenue & Customs, licensing authorities, law-enforcement bodies, courts and other regulators where required or reasonably necessary.
A buyer, investor, lender or professional adviser involved in a proposed sale, merger, financing or restructuring of our business, subject to appropriate confidentiality safeguards.
We require processors acting on our behalf to use personal information only on our documented instructions, keep it secure and provide appropriate contractual protections.
7. International transfers
Some of our technology or service providers may store or access personal information outside the United Kingdom. Where this occurs, we will use an approved transfer mechanism and appropriate safeguards, such as UK adequacy regulations, the UK International Data Transfer Agreement or an approved UK Addendum to standard contractual clauses, together with additional safeguards where appropriate.
8. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, tax, regulatory, fraud-prevention and claims requirements. Our working retention periods are:

9. Security
We use appropriate technical and organisational measures designed to protect personal information against accidental or unlawful loss, alteration, disclosure, access or destruction. Measures may include access controls, user permissions, password protection, secure hosting, backups, encryption where appropriate, staff confidentiality and supplier due diligence. No internet or email system can be guaranteed completely secure.
10. Direct marketing
We may send relevant trade communications about our wines, suppliers, availability, tastings, events and services where the law permits. Marketing preferences are separate from trade-account approval. You can opt out at any time by using the unsubscribe link in an email or contacting us at contact@MaisonVintique.com.
We will not sell personal information to advertisers. Where consent is required for electronic marketing, we will ask for it separately. Different rules may apply depending on whether the recipient is a corporate subscriber, sole trader or certain type of partnership.
11. Cookies and website technologies
Our website may use strictly necessary cookies to operate secure login, account functions and preferences. We will ask for a valid choice before using non-essential analytics, advertising or similar technologies where consent is required. 12. Automated decision-making
We do not currently intend to make decisions that have legal or similarly significant effects solely by automated means. Account approval and material credit decisions should involve human review. If this changes, we will update this notice and provide the information required by law.
13. Your data-protection rights
Depending on the circumstances, you may have the right to:
ask for access to your personal information;
ask us to correct inaccurate or incomplete information;
ask us to erase information in certain circumstances;
ask us to restrict the way we use information;
object to processing based on legitimate interests, including an absolute right to object to direct marketing;
receive certain information in a portable format where the right applies;
withdraw consent at any time where we rely on consent, without affecting earlier lawful processing; and
raise a complaint about how we use your information.
These rights are not absolute. We may need to verify your identity and may refuse or limit a request where the law allows. We normally respond within one month, although the period may be extended for a complex request.

15. Changes to this notice
We may update this notice to reflect changes in our activities, suppliers, systems or the law. The latest version will be published on our website. Where a change is material, we may also notify relevant account contacts directly.
